Privacy Policy

Last updated: May 27, 2026

Wander by Wilson (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit wanderbywilson.com, subscribe to our newsletter, submit an inquiry form, or otherwise engage with us. Please read this Policy carefully. By using our website or services, you agree to the practices described here.

Wander by Wilson is based in Atlanta, Georgia, USA. For any privacy-related questions, contact us at wilson@wanderbywilson.com.

1. Information We Collect

Personal Information You Provide

We collect personal information that you voluntarily provide when you:

  • Submit our inquiry or contact form (typically: name, email, phone number, travel dates, destinations of interest, traveler details, budget range, and any free-text information you choose to share);
  • Subscribe to our email newsletter (typically: name and email address);
  • Engage us for travel planning services (additional information needed to book travel — such as full legal names, dates of birth, passport details, frequent traveler numbers, dietary restrictions, accessibility needs, and emergency contacts);
  • Communicate with us by email, text, phone, or direct message on social media.

We do not collect payment card information through this website. Planning fees and Supplier payments are processed through third-party payment processors and Supplier booking systems; see Section 4 below.

Information Collected Automatically

When you visit our website, our servers and third-party analytics tools automatically collect certain information, including:

  • IP address, browser type and version, device type, operating system;
  • Pages viewed, time spent on pages, referring and exit URLs, click activity;
  • General geographic location inferred from IP address;
  • Cookies and similar tracking technologies (see Section 5).

Information from Social Media

If you interact with us on Instagram, Facebook, Pinterest, or other social platforms, we may receive public profile information you have made available on those platforms, in accordance with your privacy settings on each platform.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide travel advisory services;
  • Plan, book, and manage your travel arrangements through SmartFlyer and travel Suppliers;
  • Send our email newsletter and other communications you have opted to receive;
  • Improve our website, services, and content offerings;
  • Analyze trends and website performance through aggregated analytics;
  • Comply with legal obligations and respond to lawful requests;
  • Protect against fraud, unauthorized access, and other unlawful activity;
  • Carry out other purposes disclosed at the time you provide the information.

We rely on your consent, the necessity of performing a contract with you, our legitimate business interests, and compliance with legal obligations as our lawful bases for processing personal information.

3. How We Share Your Information

We do not sell your personal information. We share personal information only as described below:

With Travel Suppliers and SmartFlyer

To book and manage your travel, we share necessary information — such as traveler names, dates of birth, contact details, passport information, and special requests — with SmartFlyer (our host agency) and with the hotels, airlines, tour operators, cruise lines, ground operators, and other Suppliers required to fulfill your trip. Each Supplier handles your information under its own privacy policy.

With Service Providers

We share information with vendors who help us operate our business, including: email marketing platforms (for newsletter delivery), website hosting providers, customer relationship management (CRM) tools, analytics providers (such as Google Analytics), and payment processors for planning fees. These providers are contractually limited to using your information solely to provide services to us.

For Legal Reasons

We may disclose information when required by law, subpoena, court order, or other legal process, or where necessary to protect our rights, property, or safety, or that of our clients or others.

In a Business Transfer

If Wander by Wilson is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify you of any such change as required by law.

With Your Consent

We may share information with other parties when you direct us to or otherwise consent.

4. Payment Information

Planning fees are processed through third-party payment processors. Travel costs (hotels, airfare, tours, transfers, experiences) are paid directly to Suppliers or processed through SmartFlyer’s booking systems on the Supplier’s behalf. We do not store full credit card numbers on our systems. Payment processors and Suppliers handle your financial data under their own privacy and security practices.

5. Cookies, Analytics, and Tracking Technologies

Our website uses cookies and similar technologies (web beacons, pixels, local storage) to operate the site, remember your preferences, analyze traffic, and improve performance. Categories of cookies we may use include:

  • Essential cookies required for the website to function;
  • Analytics cookies (such as Google Analytics) that help us understand how visitors use the site;
  • Marketing or advertising cookies that may be set by social platforms or advertising partners if we run campaigns.

Most browsers accept cookies by default. You can adjust your browser settings to refuse cookies or to alert you when cookies are being sent; however, some parts of the website may not function properly without them.

Google Analytics: You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout.

6. Email Newsletter and Marketing

When you subscribe to our newsletter, we use your name and email address to send periodic emails about destinations, properties, travel inspiration, and Wander by Wilson updates. Every marketing email includes an unsubscribe link. You can opt out at any time by clicking that link or emailing us at wilson@wanderbywilson.com.

Even if you unsubscribe from marketing emails, we may still send you transactional or service-related messages (for example, confirming a booking or responding to your inquiry).

7. Data Retention

We retain personal information for as long as needed to provide our services, comply with legal and tax obligations, resolve disputes, and enforce our agreements. For clients we have booked travel for, this typically means retaining trip records for several years for IRS, supplier, and reference purposes. Newsletter subscriber data is retained until you unsubscribe. You may request deletion at any time, subject to legal retention requirements.

8. Security

We take reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, use, disclosure, alteration, and destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security. You provide information at your own risk.

In the event of a data breach affecting your personal information, we will notify you and any required authorities in accordance with applicable law.

9. Children’s Privacy

Our website and services are not directed to children under the age of thirteen (13), and we do not knowingly collect personal information from anyone under thirteen. If a parent or legal guardian engages us for family travel that includes minors, the adult is responsible for providing minor traveler information lawfully and for any required parental consent. If you believe we have collected information from a child under 13, please contact us so we can delete it.

10. Your Privacy Rights

Depending on where you live, you may have rights regarding your personal information. We honor the following rights for all users, regardless of jurisdiction, where reasonably possible:

  • Access — request a copy of the personal information we hold about you;
  • Correction — request that we correct inaccurate or incomplete information;
  • Deletion — request that we delete your personal information, subject to legal retention obligations;
  • Opt out of marketing — unsubscribe from our newsletter at any time;
  • Withdraw consent — where we rely on consent, you may withdraw it at any time;
  • Object or restrict — ask us to limit or stop processing your information for certain purposes;
  • Portability — request your information in a structured, commonly used format.

To exercise any of these rights, email wilson@wanderbywilson.com. We may need to verify your identity before responding. We will respond within the timeframes required by applicable law.

Notice to California Residents

California residents have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the rights listed above and the right to know the categories of personal information we have collected, the categories of sources, the business purposes for collection, and the categories of third parties with whom we share information. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. To submit a request, email wilson@wanderbywilson.com.

Notice to Residents of the EU/UK

If you are located in the European Economic Area, United Kingdom, or Switzerland, you have rights under the GDPR and UK GDPR, including the rights listed above, the right to lodge a complaint with your local data protection authority, and the right to know the legal basis for our processing. The legal bases on which we rely are: (a) your consent (for marketing emails); (b) performance of a contract (for clients we are arranging travel for); (c) our legitimate interests (in operating and improving our website and business); and (d) compliance with legal obligations. To exercise any GDPR right, email wilson@wanderbywilson.com.

11. International Visitors

Our servers and operations are located in the United States. If you access our website from outside the U.S., you understand that your information will be transferred to and processed in the United States, which may have data protection laws different from those of your country of residence. By using our website, you consent to this transfer.

12. Third-Party Links

Our website and emails may contain links to third-party sites — including Supplier websites, social media platforms, and editorial articles — that operate under their own privacy policies. We are not responsible for the privacy practices of those third parties. Please review their privacy policies before providing personal information.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the “Last Updated” date at the top of this page. Material changes may also be communicated by email or a notice on our website. Your continued use of our website after any such change constitutes your acceptance of the revised Policy.
